Preparing an accurate party budget is so important, whether you are planning a big or small event. 

It is easy to spend, spend, spend when you are planning a party. But having a budget will help keep costs under control.

Here are some possible items to keep in mind that you will need to plan for, if needed. Customize the list for your specific needs.






Party Budget Considerations

  • Invitations - will you purchase or make invitations, and will they be printed and mailed, or sent online, or given in person?
  • Venue Rental - if you aren't having the party at home, you'll need to plan where you will have the event. Costs to consider are venue rental, staff, security, tax and gratuity, as well as charges for going over the time limit
  • Food (Refreshments, Meals, Beverages) - what you serve will have a big impact on what the costs are for the event
  • Decorations
  • Helpers for Party Set-up and Tear Down, Servers, Security
  • Any tables, chairs, dance floor, etc. that need to be rented
  • Entertainers, Inflatables. Games - How will your guests spend their time?
  • Music - Will you use live or recorded music? Decide on whether you'll use live musicians, a DJ, or music from your own collection. If using your own music, don't forget that you'll need a sound system or way to play it where everyone can hear it and a back up plan in case it doesn't work as intended.

    If you are hiring a party planner, they may charge up to a 15% surcharge. Other times, they'll charge a flat fee per person. In some cases, folks feel that this surcharge is absolutely worth it. To me, it depends the amount of time you have to devote to planning and organizing the details of the party, your budget, and whether or not you want to organize the party or if you'd rather leave the little details to someone else.

    For a party at home, you may be able to play music on your home speakers, borrow folding tables and chairs and get a friend to take the photos. Invitations and decorations can be as expensive or inexpensive and creative as you like.
